Terms & Policies
At Ronin Designs, we are committed to providing premium custom products and exceptional customer service. The following policies establish clear expectations throughout the design, manufacturing, and delivery process.
Quotes & Pricing
All quotes are provided free of charge and are based on the specifications requested, including quantity, size, materials, finishes, accessories, packaging, and overall design complexity.
Quotes are valid for 30 days unless otherwise noted. Pricing may change after this period or if project specifications are modified.
Payment Terms
A non-refundable mold fee deposit is required before work begins on your project. This deposit covers the creation of your custom production mold and the initial production sample.
Your mold fee deposit is credited toward the final purchase price of your order and is not an additional charge.
Once your production sample has been approved, the remaining balance is due in full before mass production begins. Production will not proceed until full payment has been received unless otherwise agreed to in writing.
Artwork Approval
A final digital proof will be provided for review before your production mold is created.
Customers are responsible for carefully reviewing all artwork, including spelling, dates, colors, dimensions, and design details before providing final approval.
Once final artwork has been approved, your production mold is manufactured.
Any changes requested after final artwork approval will require a new production mold. New mold fees, additional production costs, and revised production timelines will apply.
Production Sample Approval
After your production mold has been completed, a production sample will be manufactured for your review and approval.
Approval of the production sample authorizes Ronin Designs to proceed with mass production. Finished products will closely match the approved sample within normal manufacturing tolerances.
Changes requested after sample approval may require a new mold, additional production costs, and revised production timelines.
Customer Responsibility
Customers are responsible for verifying all artwork and project details prior to approving digital proofs and production samples. This includes, but is not limited to:
- Spelling
- Grammar
- Names
- Dates
- Badge numbers
- Unit designations
- Colors
- Dimensions
- Product specifications
- Overall artwork accuracy
Ronin Designs is not responsible for errors, omissions, or inaccuracies that were present in customer-approved artwork or production samples.
Customer-Supplied Artwork & Intellectual Property
Customers are solely responsible for ensuring they have the legal right to use any logos, trademarks, badges, patches, artwork, photographs, or other intellectual property submitted for their project.
By submitting artwork or reference materials, the customer represents that they possess all necessary rights or permissions to authorize their use.
Ronin Designs assumes no responsibility for unauthorized use of copyrighted or trademarked materials supplied by a customer and reserves the right to refuse any project that may infringe upon the intellectual property rights of others.
Ronin Designs Intellectual Property
All custom artwork, digital renderings, concepts, illustrations, and original designs created by Ronin Designs are the exclusive intellectual property and copyrighted works of Ronin Designs unless otherwise agreed to in writing.
Ronin Designs grants customers a limited license to use such artwork solely for the manufacture of products ordered through Ronin Designs. Artwork created by Ronin Designs may not be reproduced, copied, modified, distributed, reverse engineered, or submitted to another manufacturer without the prior written consent of Ronin Designs.
Unauthorized reproduction, distribution, or use of Ronin Designs artwork may constitute copyright infringement and may result in legal action.
Design Services
Ronin Designs invests significant time into developing original custom artwork and concepts for each project.
If a customer becomes unresponsive, abandons a project, or elects not to move forward after custom design work has begun, Ronin Designs reserves the right to recover the value of the time and creative work invested.
At Ronin Designs' discretion, this may include:
- Charging a reasonable design fee for work completed; or
- Offering the design, or elements of the design, as part of a future limited-edition product or collector release.
Customers who wish to retain exclusive rights to an unfinished custom design may do so by paying an agreed-upon design fee prior to project cancellation or abandonment.
Production Timeline
Production typically requires 5–8 weeks following:
- Final artwork approval
- Production sample approval
- Receipt of full payment
Production timelines are estimates only and may vary due to production scheduling, material availability, holidays, customs processing, shipping delays, or circumstances beyond our control.
Color Matching
Digital artwork and proofs are viewed on a variety of monitors, phones, and devices. Differences in screen settings and manufacturing processes may result in slight color variations between digital artwork and the finished product.
Ronin Designs makes every reasonable effort to accurately match approved colors; however, exact color matching cannot be guaranteed.
Manufacturing Tolerances
Every custom product is individually manufactured.
Minor variations in metal plating, enamel color, antique finish, UV printing, epoxy, screen printing, surface texture, alignment, and color matching are considered normal manufacturing tolerances and are not considered manufacturing defects.
Shipping
Orders will be shipped to the address provided by the customer.
Once an order has been transferred to the shipping carrier, Ronin Designs is not responsible for shipping delays, loss, theft, or damage occurring during transit.
Tracking information will be provided whenever available.
Inspection & Claims
Customers are responsible for inspecting their order immediately upon delivery.
Any shortages, manufacturing defects, or shipping damage must be reported in writing within 7 calendar days of delivery.
Claims submitted after this period may not be eligible for replacement or correction.
Returns, Refunds & Cancellations
Because every product is custom manufactured specifically for each customer, all sales are final.
Orders may not be canceled once production of the custom mold has begun.
After mass production has started, orders cannot be canceled, returned, exchanged, or refunded except in the event of a verified manufacturing defect or production error.
Reorders & Production Molds
Ronin Designs retains ownership of all production molds and tooling used to manufacture custom products.
Production molds are maintained by Ronin Designs to facilitate future reorders but are not transferred or sold as part of any purchase.
If changes are requested to an existing approved design, a new production mold may be required and additional mold fees will apply.
Photography & Portfolio Use
Unless otherwise requested in writing prior to production, Ronin Designs reserves the right to photograph, display, and promote completed custom products for portfolio, marketing, advertising, social media, website, and promotional purposes.
We understand that certain projects may involve sensitive or confidential information. Customers requesting confidentiality must notify Ronin Designs prior to production, and we will gladly refrain from publicly displaying those products.
Abandoned Projects
Projects that remain inactive due to a lack of customer communication or response for 90 consecutive days may be considered abandoned.
Restarting an abandoned project may require updated pricing, additional design work, revised production timelines, or new mold fees if production has not yet begun.
Force Majeure
Ronin Designs shall not be held liable for delays or failure to perform due to events beyond our reasonable control, including but not limited to natural disasters, severe weather, labor disputes, material shortages, government actions, customs delays, transportation disruptions, pandemics, or other unforeseen circumstances.
Limitation of Liability
Ronin Designs' liability for any claim relating to a custom order shall not exceed the purchase price of the affected products.
Ronin Designs shall not be liable for any indirect, incidental, consequential, special, or punitive damages arising from the use of our products or services.
Policy Updates
Ronin Designs reserves the right to modify these Terms & Policies at any time without prior notice. The version in effect at the time an order is placed shall govern that order.
